Our new Pittsburgh office is are seeking an Administrative Assistant to support Retinal Labs USA’s mobile national preventive screening operations. Under the direction of the COO, you will provide support services to multiple areas of the business varying from general administrative to more complex technical tasks.

You have proven administrative experience: you have strong attention to detail and an excellent sense of accuracy combined with outstanding customer service skills. You possess excellent time management skills and have the ability to handle multiple priorities at once. Your strong sense of urgency and flexibility to work in a fast paced and changing environment makes you the ideal candidate. Previous healthcare and/or academic work experience is strongly preferred, as is proficiency in Microsoft Excel, Word, Outlook, and other Office products and online conference applications. A high level of professionalism and exceptional communication skills (interpersonal and written) are vital to this role, as well.

Responsibilities:

  • Answer and direct phone calls.
  • Write and distribute email, correspondence memos, letters, patient reports, faxes and forms.
  • Develop and maintain an office filing system.
  • Customer service and following up on patient complaints.
  • Billing cycle, invoicing and manage claims process.
  • Perform basic accounting duties.
  • Employee time tracking, gathering and verifying expense reports, reporting data to payroll provider.
  • Order supplies for office staff and field workforce and coordinate delivery.
  • Organize and schedule appointments.
  • Assist in preparation for trade shows and industry conferences.
  • Plan meetings and take detailed minutes.
  • Assist in the preparation of regularly scheduled reports.
  • Provide input to presentations and other supervisor work (i.e., supervisor provides general thought and Senior Admin will draft more material based on initial ideas).
  • Develops and sends correspondence on behalf of various departments (i.e., draft and send meeting minutes, draft and send meeting events).
  • Under general direction, provides varied administrative support to a department or group of professionals.
  • Maintain supervisor’s calendar (i.e., proactively schedules meetings on supervisor’s behalf, makes recommendations for large meeting venues and catering, takes leadership role to ensure meetings flow smoothly).
  • Make travel arrangements.
  • Develop reports for executive or department.
  • Analyze complex information requests and determines complex trends.
  • Review administrative procedures and operating practices and makes recommendations to increase efficiency.

Qualifications, Education & Required Experience:

  • High school diploma or equivalent.
  • Five years experience in an increasingly responsible administrative support role.
  • Previous work experience in a healthcare and/or academic setting highly preferred.
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Ability to use applicable MS Suite products.
  • Proficient Excel and Word skills highly preferred.
  • Proficient Outlook skills highly preferred.
  • Proficient in online conference programs
  • Proficient in online screen sharing programs
  • Ability to work with and manage vendors
  • Advanced knowledge of business processes and procedures.

Job Description:

This is a temporary (roughly 1 month) contract position with the possibility of extension and/or full-time work.

We are seeking an experienced ophthalmic technologist to carry out in-home diabetic retinopathy exams and to distribute lab-in-an-envelope test kits to health plan members.

The territory you will cover for this contract assignment will be:

  • Brooklyn
  • Queens
  • Staten Island
  • West/East Bronx
  • Spring Valley
  • Buffalo (you will also be expected to travel for approximately 2-3 days)

You will be compensated by hour with an attractive bonus for completed home visits. The company will also reimburse you for mileage and will pay for your travel and accommodations for you overnight stay in Buffalo.

The company will provide you with a portable retinal camera and training in addition to all necessary supplies and accessories.

Patient adherence with screening guidelines is critical to prevent blindness from diabetic eye disease. Through both in-clinic and in-home care delivery models, Retina Labs helps primary care providers, heath systems and health plans close diabetic eye exam and other critical diabetes care gaps.

  • Transmit retinal images to company’s teleretinal screening platform.
  • If required, and whenever possible, collect an A1c and blood glucose samples (finger prick), micro albumin (urine sample) and leave behind colorectal screening kit for patient to self-complete at their leisure.
  • Ensure accurate labeling of lab sample kits and return to lab testing center as per company procedure.
  • Complete patient forms as required (paper and/or electronic) and secure patient signature at end of home visit.
  • Compile and submit weekly visit reports to operations manager.
