Retina Labs is a leading healthcare software company specializing in ocular telemedicine for early detection of chronic eye diseases such as diabetic retinopathy, glaucoma and age-related macular degeneration. The company offers solutions for clinic-based primary care practices as well as in-home preventive screening services including diabetic eye exams, lab tests for hemoglobin A1C, kidney disease, colorectal cancer, and bone density screening for osteoporosis management. Role Description:

You will be working on developing new features and improving our Java-based teleophthalmology applications, including our new ComplyHub platform which is the backbone of our in-home preventive screening business. ComplyHub is a comprehensive field workforce management and electronic visit verification platform and client portal which has been built in-house.

  • Java and object-oriented design: +5 years work experience

Role Summary

Under the direction of the COO, you will provide daily support to the operations in various areas of the Company ranging from general administrative to more complex technical tasks.

The Operations Administrator will have proven administrative experience, in particular, strong attention to detail and an excellent sense of accuracy combined with outstanding customer service skills. He/she will possess excellent time management and organizational skills and have the ability to handle multiple priorities at once. This role requires a strong sense of urgency and flexibility to work in a fast paced and changing environment. The key to this role is to assist and ensure smooth and efficient daily operations.

  • Answer and direct phone calls.

  • Metric development and tracking (timing as required – monthly, quarterly, etc.)
  • Communicating scheduling changes to internal operations and clients
  • Follow up with technologists to confirm schedules, completion of appointments, reschedules and cancellations
  • Monitor weekly and monthly conversion rates, take steps to help improve technologist conversion
  • Coordinate all training events for technologist – on-boarding training and on-going training
  • Lead the preparation of all training documentation and tracking, logging training details
  • Assist in preparation for trade shows and industry conferences.
    Plan meetings and take detailed minutes.
  • Assist in the preparation of regularly scheduled reports.
  • Develops and sends correspondence on behalf of various departments (i.e., draft and send meeting minutes, draft and send meeting events).
  • Under general direction, provides varied administrative support to a department or group of professionals.
  • Coordinates all Company travel requirements
  • Develop reports for executive or department.
  • Analyze complex information requests and determines complex trends.
  • Review procedures and operating practices and makes recommendations to increase efficiency

Qualifications, Education & Required Experience

  • Minimum College or equivalent
  • Minimum of 5 years’ experience in an administrative role / operations administrator role
  • Previous work experience in a healthcare setting preferred.
  • Solid ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Strong ability to use applicable MS Suite products (Word, Excel, PowerPoint, Outlook).
  • Proficient in online conference programs, screen-sharing programs
  • Ability to work with and manage vendors
  • Advanced knowledge of business processes and procedures.
  • Working knowledge of accounting and financial principles and functions.
  • Ability to analyze data.
  • Willingness to travel on occasion as required.
  • Ability to use discretion and independent judgment.
  • Previous experience with travel arrangements (domestic and/or international) highly preferred.
  • Strong and effective communication skills in English (oral & written); Spanish a definite asset.

Diabetic retinopathy is the leading cause of severe visual impairment in the working-age population.

We’re looking for highly motivated and clinically oriented Retinal Imaging Field Technologists to join our preventive care team. You will be responsible for performing home visits and participating in health fair events to conduct diabetic eye exams using an easy-to-operate portable retinal camera. You may also be required to administer additional preventive screening tests including bone density scans and distributing direct-to-consumer lab tests using sample collection kits provided to you.

Responsibilities:

  • Carry out scheduled appointments.
  • Travel to patient homes and health fair events and arrive on time as scheduled.

  • Access to reliable transportation that would enable you to travel to multiple patient homes during the day.
  • Must possess a valid driver’s license and have a good driving record.
  • Willingness to travel beyond your immediate area with possible overnight stays an asset.
